Lead Generation Bots

A lead generation bot has a short, guided conversation with every prospect before your team spends any time on them. Good leads reach the right salesperson instantly with the full transcript; the rest still get a polite, useful answer.

Qualification before conversation

Sales teams lose hours to enquiries that were never going to buy: the budget is far off, the location is wrong, or the person is only browsing. A lead generation bot asks the three or four questions your best salesperson would ask first — requirement, budget, timeline, location — and uses the answers to decide what happens next.

The difference from a web form is the format. A chat asks one thing at a time, offers buttons instead of blank boxes, and can change its next question based on the last answer. For many people, tapping through a short chat on Telegram feels lighter than filling in a form.

What this looks like in different businesses

  • Real estate: buyer or renter, preferred area, budget band, move-in timeline. Serious buyers get a call-back slot; early-stage browsers get new listings in their range.
  • Coaching institute: course of interest, current class or qualification, preferred batch timing. Qualified enquiries go to a counsellor; others receive the brochure and fee structure.
  • Interior design or solar installation: property type, size, city, budget. Out-of-area enquiries are told politely that you do not serve their city yet.
  • B2B manufacturer: product category, quantity, delivery location. Bulk enquiries go to the sales head, small quantities to a distributor.
  • SaaS startup: company size, current tool, main problem. Larger teams are offered a demo, smaller ones a free trial link.

What we build

  • The qualification flow, with buttons, branching and validation of phone numbers and emails.
  • Scoring rules that combine answers into qualified, nurture or not-a-fit.
  • Instant routing of qualified leads to the right person or team, with the transcript attached.
  • Useful automatic responses for leads who are not ready — a brochure, a price range, a relevant article.
  • Campaign tracking through Telegram deep links, so each ad, QR code or partner gets its own start link and you can see which source brings real leads.
  • An admin screen to edit the questions and scoring yourself, without a developer.
  • Export or sync to your CRM or spreadsheet.
The editable questions matter more than they seem. After a few weeks you will know which answers actually predict a sale, and you should be able to adjust the flow the same day.

Getting people into the bot

Telegram bots cannot message someone who has not started them, so every lead bot needs entry points. The common ones are a “Chat on Telegram” button on your website, QR codes on print material and site boards, links in social media bios and ad campaigns that send traffic to a start link. Our performance marketing team can run those campaigns if you need them.

Our delivery process

  1. Interview your sales team about what separates good leads from bad ones.
  2. Write the flow and scoring rules, and agree them with you in plain language.
  3. Build and test the bot, including awkward answers and people who stop halfway.
  4. Set up routing, notifications and CRM sync.
  5. Launch with source tracking in place, then review the first batch of leads together and tune the questions.

Measuring what the bot is doing for you

A lead bot should make your sales numbers easier to understand, not harder. From the admin panel you can see how many people started the bot from each source, where in the flow they stopped, how many qualified and how quickly each qualified lead was contacted.

  • Drop-off by question shows which step is losing people, so you can simplify or remove it.
  • Qualification rate by source tells you which ads, partners or QR codes bring buyers rather than browsers.
  • Response time from qualification to first contact keeps the sales team honest about follow-up.
  • Outcome tracking, if the bot syncs with your CRM, links each source to the deals it eventually produced.

These numbers are only as good as the data behind them, so we set up source links and CRM sync from launch rather than adding them later.

Technology and what affects effort

The bot runs on the official Telegram Bot API, usually built with aiogram in Python or grammY in TypeScript, with PostgreSQL storing leads and transcripts. Effort depends on the number of branches in the flow, how many teams leads are routed to, the CRM integration, the number of languages and whether you want dashboards for campaign reporting.

Mistakes that hurt lead bots

  • Asking for a phone number first. Earn it by being useful before you ask.
  • Too many questions. Every extra step loses some people. Ask only what changes the routing.
  • Slow handover. A qualified lead that waits hours for a call cools quickly. Routing should be instant and the salesperson notified on their phone.
  • Treating “not qualified” as “ignore”. Today’s browser is often next year’s buyer. Give them something useful and a way to come back.

Pair this with a CRM Bot so qualified leads are followed up properly, or look at WhatsApp Lead Automation if your audience lives on WhatsApp. More options are on our Telegram bots page and in the Telegram bot guide. Contact us to plan your flow.

Frequently asked questions

Can the bot book a call or site visit directly?

Yes. After qualification the bot can offer available slots from a calendar, confirm the booking and notify the salesperson, with a reminder sent to the prospect before the appointment.

How many questions should the bot ask?

Usually three to five. Enough to decide where the lead goes, and no more. Extra details can be collected later by the salesperson or in a follow-up message.

Can I change the questions after launch?

Yes. We build an admin screen where you can edit questions, answer options and scoring rules without touching code.

Can I see which campaign each lead came from?

Yes. Each campaign, ad or QR code gets its own Telegram start link, and the bot records that source against the lead so you can compare channels.

What happens to leads that do not qualify?

They receive a helpful response you define — information, a brochure or an alternative offer — and are stored so you can reach them later if they start the bot again.
