Cost factors and mistakes to avoid

Effort depends on the number of pipeline stages and custom fields, the CRM and the quality of its API, whether sync is one-way or two-way, and how complex the assignment rules are.

  • Asking too many questions up front. Capture the minimum needed to route the lead; gather the rest in conversation.
  • Ignoring duplicates. The same person enquiring twice should update one record, not create two.
  • Letting anyone see everything. Salespeople usually should see only their own leads; we build permissions accordingly.
  • No reminder loop. Capturing leads is half the job. Without follow-up reminders, the pipeline still leaks.

Data ownership and access control

Lead data is commercially sensitive, so the bot is built with the same care as any business system. Leads, notes and conversation history are stored in your own database on your own server, and synced to your CRM — never held only inside Telegram chats.

  • Staff features are available only to Telegram accounts an admin has approved.
  • Roles decide who sees what: salespeople see their own leads, team leads see their team, managers see everything.
  • Access is removed instantly when someone leaves, and their leads can be bulk-reassigned.

Frequently asked questions

Can the bot send follow-up messages to leads automatically?

Yes, to leads who have started the bot. It can send reminders, requested information or a check-in after a set period, and it stops as soon as the lead replies or asks it to. Telegram does not allow bots to message people who have never started them.

Which CRMs can the bot connect to?

Any CRM with a documented API, which includes most popular hosted CRMs and many self-hosted ones. We check the specific API during discovery, because limits and available fields vary.

Do salespeople need to install anything?

Only Telegram, which most of them already use. Access to the staff features is restricted to approved team members, and can be removed instantly when someone leaves.

What happens to the data if a salesperson leaves?

Nothing is lost. Leads and conversations belong to the business, stored in your database and CRM, and can be reassigned to another team member with a click.

Can managers see team performance?

Yes. Managers can receive pipeline summaries in Telegram and see detailed reports in the admin panel or the CRM itself, such as leads per person and follow-ups overdue.
