CRM Integration

We connect your official WhatsApp number to your CRM, so conversations stop living on individual phones and become part of the customer record your whole team can see.

Why WhatsApp conversations belong in your CRM

In many businesses, WhatsApp is where the real sales conversation happens — the questions, the negotiation, the documents — while the CRM holds a name and a stage that nobody updates. When a salesperson leaves, their chats leave with their phone. When a manager wants to know why a deal stalled, the answer is buried in someone’s personal WhatsApp.

A WhatsApp CRM integration writes every message against the correct contact, so email, calls and WhatsApp appear on one timeline. Replies can be sent from inside the CRM through your official business number, and the conversation belongs to the business rather than to whoever happened to answer.

Signs you need it

  • Salespeople use personal numbers to talk to customers.
  • Managers ask for screenshots to see what was promised.
  • The same customer is contacted by two people who didn’t know about each other.
  • Leads from WhatsApp are copied into the CRM by hand — or not at all.
  • You can’t tell which campaign a WhatsApp enquiry came from.

A real estate agency with several agents, a manufacturer handling dealer enquiries, a coaching institute running admissions and a clinic chain coordinating front desks all hit these problems as soon as more than a couple of people share customer conversations.

What the integration covers

  • Contact matching — incoming messages matched to existing contacts by phone number, with new contacts created automatically and their source recorded.
  • Conversation logging — inbound and outbound messages, media and delivery status stored on the contact or deal.
  • Replying from the CRM — agents send free-form replies inside the 24-hour customer service window and pick approved templates outside it.
  • Assignment and ownership — each conversation routed to the contact’s owner, or by round robin for new leads.
  • Triggers — stage changes in the CRM can send an approved template, such as a site-visit confirmation or a payment reminder.
  • Opt-in fields — consent status stored on the contact and respected by every automation.

Which CRMs we work with

We integrate with CRMs that offer a proper API, including HubSpot, Zoho CRM, Salesforce and Pipedrive, as well as custom-built CRMs. Some of these have their own WhatsApp add-ons or marketplace apps; where one fits your needs, we’ll tell you rather than build something you don’t need. Where it doesn’t — custom fields, unusual routing, several numbers or business rules specific to you — we build the connection on the official WhatsApp Cloud API with our own middleware.

If your current CRM is the real problem, our CRM Development service builds one around how your team actually sells, with WhatsApp designed in from the start. For connecting other systems at the same time, see CRM Integration under API development.

How we deliver it

  1. Map how leads and customers move through your CRM today and where WhatsApp fits in.
  2. Agree matching rules, ownership rules and which events should send templates.
  3. Set up or verify the official WhatsApp number and templates.
  4. Build and test the sync in a sandbox or test pipeline first.
  5. Migrate the team from personal numbers, with a short training session.
  6. Monitor sync errors in the first weeks and tune the rules.

What affects timeline and cost

  • Which CRM you use and how much its API allows.
  • How clean your existing contact data is — duplicates and inconsistent phone formats need fixing first.
  • Number of WhatsApp numbers, teams and routing rules.
  • How many CRM events should trigger WhatsApp messages.

Mistakes to avoid

  • Storing phone numbers in mixed formats, so the same customer becomes three contacts.
  • Letting CRM automations send templates to contacts who never opted in.
  • Integrating the CRM but leaving salespeople free to keep using personal numbers.
  • Syncing everything with no thought to who should see which conversations.

Permissions deserve particular thought. A branch agent may need only their own leads, while a sales head needs the whole pipeline and a support lead needs service chats but not pricing negotiations. We set visibility with you before go-live, because changing it after the team has settled into a routine is harder.

Pair this with WhatsApp Lead Automation so new enquiries are qualified before they reach the CRM. See all WhatsApp automation services, the WhatsApp automation guide, or talk to us.

Frequently asked questions

Can we keep using our current CRM?

In most cases, yes. If your CRM has a usable API, we connect WhatsApp to it directly. We only suggest a different or custom CRM if the current one genuinely can’t support how you work.

Can several salespeople share one WhatsApp number?

Yes. Everyone replies from the official business number through the CRM, and each conversation is assigned to its owner so customers deal with a consistent person.

What happens to old chats on personal phones?

Past chats on personal WhatsApp accounts can’t be reliably imported through the official API. From go-live onwards, every conversation is recorded in the CRM.

Can the CRM send WhatsApp messages automatically?

Yes, through approved templates to opted-in contacts — for example when a deal moves to a new stage. Free-form messages are only possible within the 24-hour window after the customer last messaged you.

Is our data stored with a third party?

Messages pass through Meta’s Cloud API and are stored in your CRM and, if we build middleware, on a server you control. We document exactly where data lives as part of handover.
