How WhatsApp lead automation works
A prospect taps a Click-to-WhatsApp ad on Facebook or Instagram, a WhatsApp button on your website, or submits a form that asks whether they’d like to continue on WhatsApp. Instead of waiting for someone to notice the message, an automated flow replies straight away, asks a few qualifying questions with buttons, shares what the prospect asked for and books the next step. Qualified leads are assigned to a salesperson with the full conversation and campaign source attached.
Because the prospect messages first, the conversation starts inside WhatsApp’s 24-hour customer service window, so the flow can reply freely. Follow-ups after that window use approved templates, and only for people who have opted in to hear from you.
Who gets the most from it
- Real estate agencies — budget, location, property type and timeline collected up front; brochures and site-visit slots sent automatically.
- Coaching institutes — course interest, class level and preferred batch captured during admission season, when enquiries spike.
- Clinics — treatment interest and preferred time captured, with a booking link or callback request.
- D2C brands — product questions answered and a checkout link shared while the buyer is still interested.
- Manufacturers — dealer and bulk enquiries sorted by region and order size before sales gets involved.
Speed matters in every one of these. An enquiry answered while the prospect is still looking at their phone is far more likely to turn into a conversation than one answered the next morning.
The building blocks
Lead sources
- Click-to-WhatsApp ads set up in Meta Ads Manager, each with its own pre-filled message or tracking so the source is known.
- Website chat buttons and QR codes on print, packaging or site boards.
- Forms and landing pages that hand the lead into WhatsApp after submission.
Qualification and follow-up
- A short guided flow using reply buttons and lists — usually three to five questions, not a questionnaire.
- Scoring rules you agree with us, so hot leads are routed immediately and early-stage ones get useful information.
- A follow-up sequence of approved templates for leads who went quiet, stopping as soon as they reply or opt out.
- Assignment to a salesperson, with an alert to them and the lead written into your CRM.
Tracking the source through to the sale
Every lead carries its source — which ad, campaign, page or QR code — from the first message onwards. When the lead is marked won or lost in your CRM, that outcome can be tied back to the campaign, so you judge ads by the sales they produce rather than the number of chats they start. Where it suits your setup, conversion events can be sent back to Meta to help ad delivery. For the ads themselves, see our Meta Ads (Facebook & Instagram) service.
How we set it up
- Agree what makes a lead qualified for your business and who should receive which leads.
- Write the qualification flow and the follow-up templates.
- Connect lead sources — ads, website, forms — with source tracking.
- Connect the CRM or a lead sheet, plus instant alerts to sales.
- Test every path, including leads who reply with free text or come back days later.
- Launch, then review weekly which questions and follow-ups move leads forward.
What affects timeline and cost
- Number of lead sources and campaigns to track separately.
- Complexity of qualification and routing rules.
- CRM integration — see CRM Integration.
- Whether an official WhatsApp number and templates are already in place.
Common mistakes
- Asking ten questions before giving the prospect anything useful.
- Following up endlessly with people who never opted in to further messages.
- Losing the campaign source, so every lead looks like it came from “WhatsApp”.
- Automating qualification but leaving no one responsible for calling hot leads quickly.

Frequently asked questions
Do Click-to-WhatsApp ads need the WhatsApp Business API?
The ads can point to a number on the WhatsApp Business app, but automated replies, qualification flows and CRM integration need the official API.
Can the flow follow up with leads who stopped replying?
Yes, with approved templates once the 24-hour window has closed, and only for leads who opted in. The sequence stops as soon as they reply or ask not to be contacted.
Where do the leads end up?
In your CRM, a shared inbox or a simple lead sheet — whichever your team already works from — with an instant alert to the assigned salesperson.
Can we change the qualifying questions later?
Yes. Questions and scoring rules are expected to change as you learn which answers predict a sale, and simple changes can be made without rebuilding the flow.
Will leads know the first replies are automated?
They should, and in our experience it works better that way. The flow introduces itself as an automated assistant, keeps the questions short and makes it easy to ask for a person at any point. A salesperson then picks up the conversation with everything already collected, so the prospect never has to repeat themselves.
