Anti-Spam & Communication Policy

Nexon Enterprise operates its own email and messaging infrastructure. This policy sets out exactly how we obtain permission before contacting anyone, what we send, how anyone can stop receiving it, and the technical standards we hold our sending to. It applies to every email and WhatsApp message we send.
1. Our commitment
We do not send unsolicited bulk email and we do not send unsolicited WhatsApp messages. Every recipient on our list has given us permission, and we keep a record of when and how that permission was given.
2. How we collect consent
We obtain permission in only two ways:
- The opt-in checkbox on our website contact form. It is separate from the enquiry consent, it is never pre-ticked, and it is clearly marked optional. Submitting an enquiry alone does not add anyone to our marketing list. We store the checkbox value together with a timestamp.
- A documented business interaction in which a person gives us their contact details and agrees to be contacted — for example an existing client, or someone who asks us to follow up after a meeting or call. We record what was agreed and when.
We do not buy, rent, exchange, scrape or harvest email addresses or phone numbers, and we do not upload purchased or third-party lists to any sending platform. Where we provide data research services to clients, we compile company-level and market information from publicly published sources for research and planning purposes only — we do not compile or sell personal contact lists, and we do not supply data for unsolicited outreach.
3. What we send
We send information about our own services, occasional offers, and updates relevant to the recipient's business. We also send transactional messages to clients — quotations, invoices, project updates, incident notices and service reports. We do not send messages on behalf of unrelated third parties, and we do not rent our list to anyone.
4. How to opt out of email
- Every marketing email carries a clear one-click unsubscribe link in its footer.
- Every marketing email includes standard List-Unsubscribe and List-Unsubscribe-Post headers in line with RFC 8058, so mailbox providers can offer their own unsubscribe control.
- No login, password, confirmation step or explanation is required to unsubscribe. One click is enough.
- Requests take effect immediately and always within 48 hours. The address is added to a permanent suppression list.
- You may also email [email protected] and we will remove you manually.
Opting out of marketing does not stop transactional messages relating to an active project or invoice.
5. How to opt out of WhatsApp
Reply STOP to any message, or use WhatsApp's own block and report controls. We honour opt-outs across both channels — if you opt out on WhatsApp, we will also stop marketing email unless you have separately asked to keep receiving it. We message only recipients who have opted in, using message templates approved through the official WhatsApp Business Platform, and we comply with Meta's WhatsApp Business Messaging Policy.
6. Our sending practices
- All sending domains are authenticated with SPF, DKIM and a published DMARC policy.
- New sending domains and IP addresses are warmed up gradually rather than being used at full volume from day one.
- Bounce and complaint feedback loops are monitored continuously. Hard bounces are suppressed permanently and never retried.
- A global suppression list applies across every campaign and can never be overridden by uploading a list.
- We keep our complaint rate below 0.1% and our bounce rate below 2%. If either threshold is crossed, we pause sending and review the list before resuming.
- Lists are cleaned and re-validated regularly, and inactive recipients are removed rather than mailed indefinitely.
7. Honest headers and content
Our From name, From address and Reply-To always identify Nexon Enterprise and route to a monitored mailbox. Subject lines describe the actual content of the message — we do not use misleading subject lines, false reply threading, or deceptive sender names. Our postal address appears in the footer of every marketing email.
8. Compliance
We follow the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023 in India. For recipients outside India, we additionally align our practices with the CAN-SPAM Act (United States), the GDPR and the ePrivacy Directive (European Union and United Kingdom), CASL (Canada), and Meta's WhatsApp Business Messaging Policy. Where two standards differ, we apply the stricter one.
9. Reporting abuse
If you believe you have received a message from us that you did not consent to, or that otherwise breaches this policy, report it to [email protected]. We acknowledge every report within two working days, investigate the source of the address, remove it, and tell you what we found.
10. Enforcement
This policy is binding on everyone at Nexon Enterprise. Any breach of it by a team member results in immediate suspension of the sending account involved and a review of every list it had access to. We would rather lose a campaign than lose the right to send mail at all.
