What CRM integration solves
A CRM is only as useful as the data in it. When enquiries arrive through a website form, a WhatsApp chat, a booking system and a spreadsheet, and someone copies them into the CRM by hand, records are late, incomplete or duplicated. Sales teams stop trusting the CRM and keep their own lists instead.
Integration fixes this by moving data automatically between your systems and the CRM. Done properly, it’s two-way where it needs to be: a new lead flows into the CRM, and when sales updates the deal stage, your application sees the change too. The key is deciding, field by field, which system owns each piece of information.

How we deliver it
- Audit the data. We look at what each system holds, how clean it is, and where duplicates already exist.
- Agree ownership. For each field, we decide which system is the source of truth and in which direction it syncs.
- Build and test in a sandbox or a test pipeline, using realistic records.
- Clean and backfill. Existing records are de-duplicated and loaded before live sync begins.
- Go live with monitoring. Failures alert the right person, and the change log makes investigation straightforward.

Some CRM plans limit API access or daily call volumes. We check this early, so you know before the build starts whether your current plan is enough for the sync you want.
Common mistakes
- Two-way sync without conflict rules, so the systems overwrite each other in a loop.
- No matching key, which creates a new duplicate contact on every sync.
- Silent failures — the integration stops and nobody knows until sales complains.
- Syncing everything by default, including fields nobody uses, which clutters the CRM.
Personal data deserves care, too. Contacts in a CRM are real people, so we sync only the fields the business genuinely uses, keep API credentials on the server, and make sure deletions or opt-outs in one system are respected in the other where your process requires it.

Can you connect our website forms directly to our CRM?
Yes. Form submissions can create or update CRM records in real time, with the source, page and any campaign details attached.
What happens if the same contact is edited in both systems?
That’s decided by the conflict rules we agree with you — for example, the CRM wins for sales fields and your application wins for account data. The change log records what happened.
Can you clean up our existing duplicate contacts?
Yes. We usually de-duplicate before live sync starts, using matching rules you approve, so the integration begins from clean data.
Do you work with custom or in-house CRMs?
Yes. If the CRM has an API, we integrate with it. If it doesn’t, we can often build one or work at the database level with appropriate care.
