Membership Bots

A membership bot runs the whole life of a paid Telegram community: payment, joining, renewal reminders and removal when a plan lapses. Admins stop chasing renewals by hand and get a clear view of who is active and what is due.

Why paid groups outgrow manual management

Many paid communities start the same way. Someone pays by UPI, sends a screenshot, and an admin adds them to the group. Renewal dates live in a spreadsheet, or in someone’s memory. It works for twenty members. At a few hundred, people stay in the group months after their plan ended, genuine members wait hours to be added, and invite links get shared with people who never paid.

A membership bot replaces that routine with rules. Payment, access and expiry are connected, so access follows payment automatically in both directions.

Who runs membership bots

  • Educators and coaching institutes running paid study groups, doubt-solving channels or test-series communities.
  • Market research and analysis providers with a subscriber channel — see the regulatory note on our Trading Bots page if that applies to you.
  • Fitness coaches and nutritionists with monthly programmes.
  • Professional and trade communities charging an annual fee for a members-only group.
  • Creators offering premium content channels to supporters.

The membership lifecycle the bot handles

  1. Plan selection — monthly, quarterly, annual or custom plans, each linked to one or more groups or channels.
  2. Payment — collected in the chat and confirmed by the gateway’s webhook before anything happens.
  3. Joining — the bot creates a single-use invite link or approves the member’s join request, so links cannot be passed around.
  4. Reminders — messages a few days before expiry and on the day, with a renewal button.
  5. Grace period — optional, if you want to give members a short window after expiry.
  6. Removal — the bot removes lapsed members from the group without permanently banning them, so they can rejoin by renewing.

For all of this to work, the bot must be an administrator in the group or channel with permission to invite and remove members. We set that up with you and keep the permissions to what the bot actually needs.

The admin dashboard

  • Active, expiring and expired members at a glance.
  • Revenue by plan and by period, reconciled with your payment gateway records.
  • Upcoming expiries, so you can plan outreach.
  • Manual overrides — add a complimentary member, extend a plan, refund and remove, or pause someone’s membership. Every business eventually needs these.
  • Coupon codes and trial periods if you want them.
  • An export of members for your own records.

How it is built

The bot uses Telegram Bot API features designed for this job: invite links with a member limit or join-request approval, and member management methods for removing and re-admitting users. Payments come through gateways such as Razorpay or Stripe, or Telegram’s own payment options where they suit the product — see Payment Bots for the details and the current rules around digital goods. Scheduled jobs handle reminders and expiries, and PostgreSQL holds members, plans and transactions.

The member’s side of the experience

A good membership bot is as pleasant for members as it is convenient for admins. From the member’s point of view, everything they need is one tap away inside the same chat.

  • My plan — current plan, expiry date and the groups it includes.
  • Renew or upgrade — pay for the next period early, or move to a longer plan, without losing days already paid for.
  • Receipts — past payments and receipts, available any time.
  • Help — a way to reach an admin for anything the bot cannot sort out, such as a payment that went through but did not show.

Clear reminders and easy renewals tend to reduce the awkward conversations admins used to have with members whose access has run out.

What affects effort, and pitfalls to avoid

Effort depends on the number of plans and groups, payment methods, whether you are migrating existing members, coupon and trial logic, and how detailed the reporting needs to be.

  • Reusable invite links. One shared link and your paid group is effectively free. Use single-use links or join requests.
  • Forgetting existing members. Moving a live community onto a bot needs a careful import of current members and their expiry dates.
  • Removing without warning. Members should always get reminders before losing access; it is both fairer and better for renewals.
  • No manual override. Real life brings refunds, disputes and gifted memberships. The admin panel must handle them.

Frequently asked questions

Can we offer a free trial?

Yes. The bot can grant trial access for a set number of days, remind the member before it ends and remove them if they do not subscribe, with each person limited to one trial.

Can the bot move our existing members over?

Yes. We import current members with their plan and expiry date, and the bot takes over reminders and removals from that point, without anyone being removed unexpectedly.

What stops people sharing the invite link?

The bot issues invite links that work only once, or requires a join request that it approves only for paying members. A forwarded link is useless to anyone else.

Are removed members banned permanently?

No. The bot removes them in a way that lets them rejoin as soon as they renew. Permanent bans are kept for genuine abuse and applied by admins.

Can one bot manage several groups?

Yes. A single bot can manage multiple groups and channels, and plans can grant access to one or several of them.
