What stationery design includes

Business stationery is the paperwork your customers, suppliers and officials receive: letterheads, envelopes, invoices, quotations, compliment slips and increasingly the email signature at the bottom of every message. Each one is a small, repeated signal of how organised and trustworthy your business is.

Stationery also carries legal and practical details that must be accurate: registered business name, contact information and, where relevant, registration numbers your business is required to show. We lay these out so they are present and readable without dominating the page, and you confirm every detail before files are finalised.

The common failure is not the design itself but the handover. A beautiful letterhead delivered only as an image forces staff to paste text on top of a picture, and the result looks worse than a plain page. We design for how stationery is really used: typed in Word or Google Docs, printed on an office printer, and exported as a PDF to email.

Print files come in CMYK with bleed where the design runs to the edge, while digital templates use RGB. Margins are set so nothing is cut off by an ordinary office printer, which cannot print to the very edge of the page.

Office printers leave an unprinted border around the page. If your letterhead needs colour right to the edge, it should be pre-printed by a commercial printer and then run through the office printer for the text.

How we deliver it

  1. Collect details: logo, registered name, contact details and the documents your team uses most.
  2. Design: we design the letterhead first, then extend the style to the rest of the set.
  3. Template build: the approved design is rebuilt as editable templates with fonts that work on your team’s computers.
  4. Test print: you print a sample on your own printer so we can adjust margins if needed.
  5. Handover: final print files, templates and the email signature, with a short note on how to use them.

Tools and fonts

Print pieces are designed in Adobe InDesign or Illustrator, and templates are built directly in Microsoft Word and Google Docs so they behave properly when people type. We pick fonts that are available on standard computers or free to install, because a template that depends on a font your staff do not have will quietly fall back to something else and break the layout.

Where you have several entities or branches, we build a template for each from the same master design, so a head office letter and a branch letter look like one family. Templates are named clearly and stored in one folder, making it easy for new staff to find the right one.

A single letterhead with Word and Google Docs versions is a small, quick job. A full suite across several entities, with invoices, envelopes and email signatures, is a larger project, and we agree the full list at the start.

  • Receiving the letterhead only as a JPG, so staff paste text over an image.
  • Using brand fonts that are not installed on office computers.
  • Putting important details too close to the page edge, where printers cut them off.
  • Forgetting the email signature, so digital correspondence looks nothing like printed letters.

Frequently asked questions

Can the invoice template calculate totals automatically?

For simple needs, a Google Sheets or Excel invoice template can include basic formulas. If you need proper invoicing with records and reports, our custom software team can build that instead.

Will the letterhead work in Microsoft Word?

Yes. We build it as a proper Word template with the header and footer set up, so your team simply opens it and types.

Can you make a Google Docs version too?

Yes. Many teams use both, so we supply matching Word and Google Docs templates.

Should the letterhead be printed by a press or on our office printer?

Both work. Office printing suits designs with a white border. For colour to the page edge or special paper, pre-printed sheets from a commercial printer are better.

Do you design email signatures?

Yes. We create an HTML email signature matching your stationery, with instructions for adding it to common email clients.
